Why it matters

Cases managed properly. Better for everyone involved.

When every referral, re-exam and update happens on time, the people who depend on the case feel the difference — starting with the patient.

Patients

Care that stays on track

The right imaging and specialist referrals at the right time, a re-exam every 30 days, and a call the moment a visit is missed — so nothing in their care slips through the cracks.

  • Consistent, well-coordinated care
  • Specialists involved when they're needed
  • Progress measured and explained

Coordinated, consistent care is what gives injured patients their best chance at a good recovery.

Clinics

Get paid for the care you provide

Attorneys

Records they can rely on

Prompt status updates, complete and consistent records, documented care without unexplained gaps, and bills that stay in proportion to the policy limits.

Security & HIPAA

Built for protected health information from day one

InjuryTrack signs a Business Associate Agreement with every practice, on every plan, and runs on AWS HIPAA-eligible infrastructure. Here's how it covers the HIPAA Security Rule's technical safeguards.

HIPAA requiresHow InjuryTrack covers it
Business Associate Agreement§164.502(e), §164.504(e)Signed electronically with every practice before any patient data is entered. Read the BAA
Access control§164.312(a)Unique login for every person, role-based permissions, optional limits to one location, automatic sign-out after 15 minutes idle.
Person authentication§164.312(d)Two-factor sign-in required for every user; accounts lock after repeated failed attempts.
Audit controls§164.312(b)Every view, edit, export and download is logged with who, when and from where — reviewable and exportable by your admins.
Encryption & integrity§164.312(a)(2)(iv), (c)256-bit encryption at rest for sensitive fields; uploaded files are read, never kept; changes recorded field by field.
Transmission security§164.312(e)TLS on every connection. Emails we send never contain patient names or case details.
Contingency & backups§164.308(a)(7)Daily encrypted backups kept for 35 days, with monitored uptime and automatic recovery.

Two-factor sign-in for everyone

Every user needs an authenticator-app code. There are no shared logins, and accounts lock after repeated failures.

Encrypted, field by field

Dates of birth, contact details, claim numbers and clinical notes are encrypted at rest. Uploaded files — EHR ledgers, appointment lists, insurance EOBs — are read, never kept.

A complete audit trail

Every view, edit, export and download is logged with who, when and from where, and you can review it yourself.

Role-based access

Doctors, front desk and billing each see and change only what their job requires.

Automatic sign-out

Idle sessions end after 15 minutes and the screen is cleared, so records don't sit open on an unattended monitor.

Your data stays yours

Practices are fully isolated from each other. If you ever leave, your records stay readable and exportable.

FAQ

Questions

Is InjuryTrack HIPAA compliant?

InjuryTrack provides the technical safeguards HIPAA requires (encryption, unique logins with two-factor, automatic logoff, audit logs, access controls) and signs a Business Associate Agreement with your practice. Compliance is shared: your practice still keeps its own policies, training and risk assessment.

Can you import my existing spreadsheets?

Yes. Send us your tracking sheet and A/R sheet as CSV files. We import cases, referrals, checklists, balances, attorneys and insurers, and flag anything that needs a second look.

Does InjuryTrack tell us how to treat patients?

No. The care guide, timelines and suggestions are educational prompts based on common PI practice. The treating provider makes every clinical decision (exams, diagnosis, treatment, referrals, imaging and discharge) using their own judgment and discretion for each patient. Prompts can be skipped or marked "not needed" at any time.

Does it work outside Florida?

Yes. The care workflow works in every state, and each case follows its own state's rules: PIP limits and deadlines, lawsuit thresholds, billing limits and provider lien steps. Florida is fully supported, every other state and DC has its own rules built in (New York, New Jersey and Michigan with limited support), and each is clearly marked until an attorney there has confirmed it. Each state's playbook page shows what's different.

Is this an EHR or billing system?

No. InjuryTrack sits alongside your EHR and billing software and manages the personal-injury side of each case: attorneys, referrals, deadlines, liens and settlements.

What happens if I cancel?

Your account becomes read-only. You can still view and export every record, and you can resubscribe at any time to pick up where you left off.
